1 Acceptance of Terms

By accessing or using VMV Cleaning Solutions' website, requesting our services, or opting into SMS communications, you agree to these Terms of Service. If you do not agree to these terms, please do not use our website or services.

These Terms apply to all visitors, prospective customers, active customers, and anyone communicating with VMV Cleaning Solutions through any channel.

2 Services Provided

VMV Cleaning Solutions provides professional commercial cleaning services to businesses and property managers in our service area. Our services include:

  • Corporate Office Cleaning — Daily, nightly, and weekly office maintenance
  • Restaurant & Hospitality Cleaning — Health-code-compliant food-service cleaning
  • Automotive & Manufacturing Cleaning — Industrial-grade shop and showroom cleaning
  • Gym & Sport Center Cleaning — Hospital-grade fitness facility sanitization
  • Warehousing & Distribution Cleaning — OSHA-compliant warehouse cleaning
  • Commercial Real Estate Cleaning — Multi-tenant property management cleaning
  • Specialty services — Post-construction cleaning, deep cleans, move-in/move-out, vacant unit turnovers, exterior window cleaning, floor stripping & waxing, carpet cleaning

Specific scope, frequency, and pricing are detailed in each customer's individual service agreement.

3 Service Areas

VMV Cleaning Solutions primarily services Nassau County and Suffolk County on Long Island, New York. We may accept clients outside this primary area on a case-by-case basis, with potential travel surcharges that will be quoted in advance.

If you're outside our standard area and interested in our services, contact us — we're often willing to extend coverage for the right client.

4 Quotes & Estimates

All quotes provided by VMV Cleaning Solutions are based on the information you provide and a free on-site walk-through.

  • Quotes are valid for 30 days from the date of issuance
  • Quotes are based on the scope, square footage, and frequency discussed during the walk-through
  • If the actual condition or scope of work differs significantly from what was described, we'll discuss adjustments with you before starting
  • Promotional offers (such as 20% off your first clean) have additional terms specified at the time of offer

5 Booking & Scheduling

Once you accept a quote and sign a service agreement, your service is scheduled according to the agreed-upon frequency. Standard onboarding takes 5–7 business days from agreement signing to first service.

  • Recurring schedules (daily, nightly, weekly) are set during onboarding
  • We provide reasonable advance notice for any scheduling changes on our end
  • One-time services (deep cleans, post-construction, vacant unit turnovers) are scheduled based on mutual availability
  • Emergency or rush services may be available at additional cost based on crew availability
Access & Coordination For after-hours service, you'll provide access credentials (keys, codes, alarm passwords) that we manage securely and only assign to your dedicated crew.

6 Cancellations & Rescheduling

We aim to be flexible because we know business needs change. Our cancellation policy is as follows:

  • Single visit rescheduling: 24+ hours notice — no charge. We'll rebook for a mutually convenient time
  • Late cancellation (less than 24 hours): 50% of the scheduled visit fee may apply if our crew was already dispatched
  • Service plan changes: 30 days notice required to change frequency, scope, or pricing
  • Full service termination: 30 days notice required to fully cancel ongoing services
  • Holiday adjustments: Holidays falling on a scheduled service day are rescheduled to the nearest business day at no charge

7 Payment Terms

Payment terms are specified in each customer's service agreement. Our standard terms are:

  • Recurring services: Invoiced monthly, payment due net-15 (15 days from invoice date)
  • One-time services: Payment due upon completion, or as specified in your service agreement
  • Accepted payment methods: ACH bank transfer, credit card, business check
  • Late payments: Invoices unpaid after 30 days may incur a 1.5% monthly late fee
  • Disputed charges: Must be raised within 14 days of invoice date for review

All payment processing is handled through PCI-compliant third-party processors. We never store credit card data on our servers.

8 Service Standards & Satisfaction Guarantee

VMV Cleaning Solutions guarantees the quality of our work. Every visit ends with a manager walk-through, photo verification, and accountability checks.

Our Guarantee
If you're not satisfied with any cleaning, contact us within 24 hours. We'll send a manager to inspect, the crew comes back to re-do the work at no charge, and your next scheduled visit is free.

To qualify for our satisfaction guarantee:

  • Notify us by phone or email within 24 hours of the service visit
  • Specific feedback about which areas or tasks need re-attention
  • Reasonable access for our crew to return for re-cleaning

9 Insurance & Liability

VMV Cleaning Solutions maintains comprehensive insurance coverage:

  • General liability: Coverage for property damage and bodily injury
  • Workers' compensation: Full coverage for all employees and contractors
  • Janitorial bonding: Protection against theft or dishonesty
  • Additional insured: Available on request for property management contracts
  • Certificates of insurance (COI): Provided within 48 hours of request

If property damage occurs as a result of our service, notify us immediately. We document the incident, assess the damage, and work with our insurance to resolve legitimate claims promptly. We are not liable for pre-existing damage or wear and tear.

10 SMS Messaging Use Cases

By providing your phone number and opting into SMS messaging, you agree to receive text messages from VMV Cleaning Solutions, including:

  • Cleaning appointment confirmations
  • Scheduling reminders
  • Service updates and notifications
  • Promotional offers or discounts (only if separately consented)

Message frequency may vary based on your service plan and communication preferences.

11 Opt-Out Instructions

You can cancel SMS service at any time. Simply text STOP to (516) 507-3792.

After you send "STOP," we will send you a single confirmation message confirming that you have been unsubscribed. You will no longer receive SMS messages from us.

If you want to opt back in, sign up as you did the first time and we will resume sending SMS messages.

13 Carrier Liability Disclaimer

Wireless carriers are not liable for delayed or undelivered text messages. VMV Cleaning Solutions is not responsible for messages that fail to be delivered due to carrier issues, network problems, or device limitations on your end.

14 Message & Data Rates

Message and data rates may apply for any messages sent to you from us and from you to us. Message frequency may vary.

If you have questions about your text plan or data plan charges, contact your wireless provider directly.

15 Age Restriction (18+)

By using our services or opting into SMS communications, you confirm that you are at least 18 years old or have the permission of a legal guardian.

We do not knowingly collect information from or provide services directly to individuals under the age of 18.

16 User Conduct

When using our website or services, you agree not to:

  • Use the website for any illegal or unauthorized purpose
  • Attempt to gain unauthorized access to our systems or accounts
  • Interfere with or disrupt the operation of our website or services
  • Submit false, misleading, or fraudulent information
  • Harass, abuse, or threaten our staff or other users
  • Use our brand, name, or content without written permission
  • Send unsolicited communications or spam through our systems

Violation of these conduct standards may result in immediate termination of services.

17 Intellectual Property

All content on the VMV Cleaning Solutions website, including text, graphics, logos, photos, and design elements, is the property of VMV Cleaning Solutions or its licensors and is protected by copyright and trademark laws.

You may not reproduce, distribute, modify, or create derivative works from any content on our website without our prior written permission. Limited personal use (such as printing a quote for your records) is permitted.

18 Limitation of Liability

To the fullest extent permitted by law, VMV Cleaning Solutions' total liability for any claim arising from our services shall not exceed the total amount paid by you for the specific service giving rise to the claim.

We are not liable for:

  • Pre-existing damage, wear, or deterioration of property
  • Lost or misplaced personal items left in service areas
  • Damage to items not disclosed as fragile, valuable, or special-care
  • Indirect, incidental, or consequential damages
  • Service disruptions beyond our reasonable control (weather, emergencies, etc.)

This limitation does not apply to claims involving gross negligence, willful misconduct, or where prohibited by applicable law.

19 Governing Law & Disputes

These Terms are governed by the laws of the State of New York, without regard to conflict-of-law principles.

Any disputes arising from these Terms or our services will first be attempted to be resolved through direct communication. If we cannot resolve a dispute informally:

  • Disputes under $5,000 will be handled through small claims court in Nassau County, NY
  • Larger disputes may be resolved through binding arbitration in Nassau County, NY
  • Class action waiver: disputes must be brought individually, not as part of a class

20 Changes to These Terms

VMV Cleaning Solutions may update these Terms of Service at any time. Material changes will be announced by:

  • Updating the "Last Updated" date at the top of this page
  • Notifying active customers via email where appropriate
  • Providing reasonable notice before changes take effect

Continued use of our website or services after changes take effect constitutes acceptance of the updated Terms.
